PURPOSE
The Board of Education of School District No. 5 (Southeast Kootenay) (“District” or “we” or “our”) is committed to protecting the privacy of personal information that we receive from members of the educational community and the public, including staff, students, parents and visitors who use our website “www.sd5.bc.ca” (“Site”) or access our employee portal (“Portal”) This Policy explains the type of information that we collect, use and disclose and how it is protected.

WHO ARE WE
The District is a public school district established under the British Columbia School Act, R.S.B.C. 1996, c. 412 that provides educational services and related supports to school-aged students attending school within the south east Kootenay region of British Columbia. This Policy applies to all individuals with whom we interact, which may include staff, students, parents and members of the local community or the public.
HOW WE COLLECT PERSONAL INFORMATION
We may collect, use or disclose personal information about students and their families and other individuals with whom we interact in the course of our operations. We also collect some personal information through this Site, which allows authorized users and the public (“Users”) to browse and download information, register for events and communicate with us. This Site also allows some authorized persons to access and use our Portal. Use of the Site is also subject to separate Terms of Use https://www.sd5.bc.ca/page/11977/terms-of-use.
OUR ACCOUNTABILITY
We are subject to the British Columbia Freedom of Information and Protection of Privacy Act (FIPPA), and we work hard to ensure that all collection, use and disclosure of personal information, including through the Site, is fully compliant with FIPPA. Under FIPPA, we are accountable for the personal information that we collect, use and disclose. As explained below, most of the personal information we collect comprises information that we collect in connection with the provision of educational services and programs. However, some of the personal information collected by the District is collected automatically, such as when Users use or visit the Site or Portal.
INFORMATION AUTOMATICALLY COLLECTED
When you visit the Site to browse, read pages, download information or access the Portal, some information is automatically collected about you. Depending on how you interact with this Site, that information may include:
- Your internet protocol (IP) address
- Your and browser, operating system and device characteristics;
- Usage data, such as the date and time of the visit;
- Your activity on the Site, such as webpages or files viewed, search and other information about use of the Site.
Information collected automatically is used for purposes such as administering the website, assessing system performance, improving web services, workforce planning and website security and management. We do not collect or use this information in identifiable form, and we do not attempt to identify individual users from this data
INFORMATION SUPPLIED TO US FOR EDUCATIONAL SERVICES
Personal information we collect and process also includes information that individuals voluntarily provide to us or which we collect and generate in the course of providing educational services, managing our staff and employees or responding to questions, complaints or inquiries. WHO WE SHARE DATA WITH
We may utilize employees and service providers to deliver services or operate the Site, and they may have access to personal information on a need to know basis. We may also aggregate and use some personal information for the purposes of evaluating and improving our services, but no information in identifiable form is used or disclosed for these purposes.
HOW YOUR DATA IS STORED
All personal information collected by the District, including through the Site, is stored within Canada . We retain personal information for at least one year if it is used to make a decision about an individual. Otherwise, we destroy personal information as soon as it is no longer needed for business, operational or legal purposes.
HOW WE PROTECT YOUR INFORMATION
Privacy laws in Canada require that we protect your personal information by making reasonable security arrangements against such risks as unauthorized access, collection, use, disclosure, or disposal. Security measures have been integrated into the design, implementation and day-to-day operating practices of the District’s operations and the Site as part of our continuing commitment to the protection of personal information. THIRD PARTY SITES
Visitors should be aware that the Site may include links to websites operated by other agencies, organizations and businesses. When you link to such third party sites, this privacy policy will not apply. The District is not responsible for the privacy practices or content of external third party websites.
COOKIES AND WEB ANALYTICS TOOLS
Like many websites, we use “cookies” and other similar technologies. A cookie is a small text file that our Site may place on your computer or mobile device that uniquely identify a browser or device each time a user visits the Site. Cookies allow websites to know if a device has visited a site before, to know and understand how a website is being used, help remember user preferences and improve a user’s browsing experience. Our use of cookies does not result in the collection of any identifiable information.
We use cookies in order to: administer services, analyze Site usage, remember user preferences, track user movements on our Site, enable users to navigate webpages efficiently and improve User experience. Our Site uses session cookies which do not collect any identifiable information and are not retained after you sign out or close your browsing session.

The information collected by Google Analytics is used by Google on our behalf for evaluating the use of the Site and to provide us with reports on the website activity and usage. YOUR RIGHTS
Under FIPPA, individuals have the right to request access to their personal information within our control. CHANGES TO THIS POLICY
We reserve the right to make changes to this Privacy Policy at any time. Such changes will be effective when posted.
